✗ What Are the Best Practices for Posting Multi-Location Opportunities When Location-Specific Details Vary? (Paid Subscription)

Recommended Workflow for Managing Complex, Multi-Location Opportunities

When posting multi-location Opportunities—especially when location-specific details vary—the key is to combine structured data with clear, supplemental documentation. This ensures contractors can quickly understand both the overall Opportunity and the nuances at each individual location.

Below is a proven, step-by-step approach:

1. Create the Opportunity

  • In the left navigation bar, click New Opportunity
  • Enter the Opportunity Name
  • Complete the Opportunity Overview
    • For best results, refer to: “How Do I Create a Clear and Effective Opportunity Overview?” in the Exchange FAQ

2. Capture Detailed Location Data

Leverage the Exchange Opportunity-Location Intake Template to gather as much information as possible.

While not all fields are required, more complete data leads to:

  • Fewer contractor questions
  • Faster vetting
  • Quicker, more accurate pricing submissions

💡 Pro Tip: After entering your Opportunity Name and Overview, click Create Opportunity to save your work in Draft Mode and avoid losing progress.

3. Prepare Files for Upload and Communication

Create two versions of your intake template:

A. “Upload” Version (for bulk import)

Keep only the required columns:

  • Location Name (Nickname)
  • *Location Type
  • Total Cleanable Square Feet
  • Street Address
  • Street Address 2
  • City, State, Zip Code
  • *Country
  • *Union Required
  • Target Start Date

Save this file as a CSV.

❗ Important: Fields marked with (*) must match exactly with Exchange dropdown options. To confirm, click Add First Location in the platform and align your template accordingly.

B. “Opportunity-Location Data” Version (for Contractor reference)

  • Remove any sensitive or private information, e.g., client name, exact address if needed
  • Retain all relevant details that help contractors understand scope and variability across locations
  • Save this file for later upload as a reference document under Attached Files Section

4. Import Locations via CSV

  • Click Import from CSV within the Opportunity
  • Upload your CSV and select Upload & Analyze
  • Confirm field mappings carefully
  • Click Import & Geocode to load locations
    • If you have challenges with this step, please contact the Customer Support at support@getroute.com for assistance.

5. Review and Refine Location Data

  • Confirm the total number of locations loaded matches the number in the load spreadsheet
  • Review each location in Location Details
  • Use the edit (pencil) icon to adjust details as needed, e.g. the Services Needed may vary by Location

Be sure to click Update Location after any edit.

6. Attach Supporting Documentation

Upload your cleaned “Opportunity-Location Data” file under Attached Files. This serves as a centralized reference for contractors to understand location-level differences.

💡 Pro Tip: In the Attached Files section, always try to include supporting documents such as:

  • Insurance Requirements
  • Scope of Work (SOW)
  • Client Standards/Expectations
  • Background check or security requirements (if applicable)
  • Drawings, Pictures, etc. (if applicable)

Final Thoughts

When location details vary, clarity is everything. By combining:

  • Structured data (via CSV upload)
  • Clear overview messaging
  • Detailed supporting documents

…you create a streamlined experience that drives higher-quality engagement, faster responses, and stronger subcontractor alignment.
